What are corporate gift boxes?

Corporate gift boxes are rigid boxes used by companies to send a set of branded items to staff, clients or event guests. Ours are one-piece magnetic boxes with a fitted insert, so a notebook, pen and flask each sit in their own place. They are made to your set in millimetres after a free proof.

The lid lifts on a spine and a front flap holds shut with hidden magnets. A soft click as the flap meets the box.

How corporate gift boxes are put together

The lid lifts on a spine and a front flap holds shut with hidden magnets. Each one is built from five parts:

  1. Lid and spine
  2. Printed wrap
  3. Greyboard walls
  4. Insert or tissue bed
  5. Flap with hidden magnets

What goes in a corporate gift box?

Usually a small set of useful, branded items. Our photos show the common combinations: a notebook, pen and insulated flask in green or blue; a cardholder, keyring and pen in a grey box; a white notebook and pen in a black foam bed; and a single keyring in a red box.

The box holds the set together and makes it feel like a gift rather than a handful of merchandise. A fitted insert is what does that, because each item has a place cut for it. Loose items rattling around a large box look like an afterthought, however good the box is.

Who orders corporate gift boxes?

If you are sending boxes to press or influencers rather than staff and clients, our page on PR boxes for launches is the better starting point.

  • HR and people teams sending welcome packs to new starters
  • Sales and account teams thanking clients after a contract or at year end
  • Event organisers giving speaker and delegate gifts
  • Companies marking long service, promotions and retirements
  • Promotional merchandise suppliers who need a box for a set they are building

How does the magnetic lid work on a gift set box?

A spine runs along the back, so the lid swings up and over like the cover of a desk diary. On closing, the flap drops against the front wall and two buried magnets pull it tight. The box opens in one movement and shows the whole set at once.

Because the lid stays attached, nothing gets lost on a busy desk or in a conference bag. The box can be kept afterwards to store the notebook or cards, which keeps your logo in sight long after the day it arrived.

The grey and green boxes in our photos open this way. The white and red boxes use a separate lift-off lid, which is also possible if you prefer it.

How do I size a box around a set of items?

Start with the largest item, usually the notebook, and lay the others beside it. Leave about 15 to 20 mm of insert between items and around the edge so each cut-out has a wall to hold it.

Height is set by the thickest item. A flask lying on its side usually decides the depth, at about 70 to 80 mm for a 500 ml flask. If the flask is the only thick piece, a stepped insert can raise the notebook so it sits level with the top of the flask.

If the items are not chosen yet, give us the likely set and we design the insert once the samples are confirmed. Our guide on sizing a rigid box with inserts walks through the clearance.

  1. Gather one of every item in the set, or exact dimensions from your supplier.
  2. Lay them out in the order you want them seen when the lid opens.
  3. Measure the overall layout and the thickest item.
  4. Send those sizes with photos of the layout for a written quote.

Foam or card insert for a corporate gift box?

Both work. The choice depends on the items and the look you want. Foam is the safer option for anything heavy, while card keeps the inside in the same colour as the outside.

There is more on each material in our comparison of insert materials.

Matching your brand colours

Most companies want the box in a brand colour, as with the green and blue sets in our photos. A box in the right shade does a lot of branding work before the logo is even read. Plain wraps in a matched colour, printed wraps and textured or linen-look papers are options.

Send your colour reference and logo files, ideally as vector artwork. We match as closely as the wrap papers allow and show the result on a proof before anything is made. Dark brand colours suit soft touch lamination; bright ones usually look best with matt or gloss lamination.

Where should the logo go?

The lid is the obvious place, usually centred and foiled. A second, smaller mark inside the lid or on the flap is a nice detail that the recipient finds when the box opens. Keep the outside to one mark so the box still looks smart on a client's shelf.

For the logo itself you can pick foil, a raised emboss, a pressed deboss or a gloss spot UV layer. A short message inside the lid, such as a welcome line for new starters, costs little more than a plain lining and is often the part people remember. You can try a logo on a lid first in Design Your Box for corporate sets.

How do corporate gift boxes reach each recipient?

Boxes come to you made up, empty and ready to fill. Free tracked UK delivery takes 2–3 business days after 4–6 business days of production.

If the filled boxes are then posted to staff working from home, pack each one in a plain outer carton with fill at the corners. Check the weight of a filled box early, because a flask and a hardback notebook together are heavier than most people guess. The address label goes on the carton, never on the gift box wrap, because peeling it off tears the paper.

Mistakes to avoid with corporate gift boxes

  • Ordering boxes before the items in the set are confirmed
  • Measuring a flask standing up when it will lie down in the box
  • Cutting foam too tight, so items are hard to lift out
  • Putting a dated message on the lid of a box meant for a whole year
  • Forgetting spare boxes for late starters or extra clients

Ordering corporate gift boxes

Send the list of items, their sizes or photos, the quantity, your brand colour and logo. A rough sketch of the layout helps, even on paper. Every order is quoted in writing.

Artwork placement costs nothing, and the proof you get covers both the outer wrap and a drawing of the insert cut-outs. Once you approve it, production starts, and the boxes arrive free across the UK. If the set will be sent at a particular event, request a corporate gift box quote with the date and we plan around it.

Corporate Gift Boxes: questions

Can a corporate gift box hold a notebook, pen and flask together?

Yes. That is one of the most common sets. A foam or card insert with three cut-outs keeps each item in place, as in our green and blue photos.

Do you supply the notebooks and pens for corporate gifts?

No. We make the box and insert. Your merchandise supplier provides the items, and we cut the insert to their sizes.

Can the insert be cut before the items arrive?

Yes, if you have exact dimensions from your supplier. If not, we wait for a sample of each item before finalising the insert.

Can corporate gift boxes be made in our exact brand colour?

We match your colour reference as closely as the wrap papers allow and show the match on the proof.

Can a welcome pack box include a message for new starters?

Yes. A printed message inside the lid is an option and shows on your proof.

Is foam or card better for a corporate gift insert?

Foam holds metal and glass items firmly. Wrapped card matches the box and suits flatter, lighter items such as notebooks.

Can I order corporate gift boxes in two sizes?

Yes. Many companies order a larger box for clients and a smaller one for staff, priced together on one written quote.

Can the logo on a corporate gift box be embossed?

Yes. Embossing or debossing is an option, alone or combined with foil, and it shows on the proof.

Do corporate gift boxes have handles?

Magnetic gift boxes are usually carried in a separate bag. If you need a box that carries itself, tell us and we suggest a build.

How far ahead should I order corporate gift boxes for an event?

Allow time for the proof and any sample items, then 4–6 business days of production and 2–3 business days of free tracked UK delivery.

Can the same corporate box be reused for different sets?

The outer box can stay the same while the insert changes. That is a good way to cover several sets with one design.

Are corporate gift boxes delivered filled?

No. They arrive made up and empty. Your team or your merchandise supplier fills them.
