What are presentation boxes?

Presentation boxes are rigid boxes made for handing something over: an award, a certificate, a pen, a set of samples or a commemorative piece. Ours use a lift-off lid so the whole item is revealed at once, flat and centred. You choose the board, wrap, insert and finish when you ask for a price.

A separate lid lifts straight off the base. A slow lift as air lets the lid go.

How presentation boxes are put together

A separate lid lifts straight off the base. Each one is built from five parts:

  1. Lift-off lid
  2. Printed wrap
  3. Greyboard walls
  4. Insert or tissue bed
  5. Lid depth and fit

What is a presentation box?

A presentation box is built for the moment something is handed over. It is opened in front of the person receiving it, often in a room full of people, and it has to look formal without fuss.

Our photos show three common styles: a black box with a thin white border line on the lid, a teal box with a fine foil pattern and a contrast pink base, and a mint green box opened to show a card insert with two cut-outs.

Who uses custom presentation boxes?

Presentation boxes are ordered by organisations more often than shops. The common buyers are below.

When the box is a gift to clients or staff rather than an award, look at our corporate and PR box range as well.

  • Schools, universities and clubs presenting awards, medals and certificates
  • Companies marking long service, retirements and sales awards
  • Pen, watch and small leather goods sellers presenting a single item
  • Brands sending sample sets to stockists and buyers
  • Councils and charities giving commemorative pieces at events

Why use a lift-off lid for a presentation?

With a lift-off lid, the person holding the box lifts the lid straight up and sees the whole item at once. Nothing swings across their hands, and there is no flap to fumble with on stage.

The lid can then go underneath the base while the item is shown. That is harder with a hinged lid, which stays attached and gets in the way of a photograph. At a ceremony, the photographer usually wants the item held up beside the open box, and a separate lid makes that easy.

The teal box in our photos opens on a spine instead, much like a hardback. That works well for certificates kept on a shelf; the build is covered on our page about hinged lid rigid boxes.

What size presentation box fits an A4 certificate?

An A4 sheet is 210 x 297 mm. Add 5 mm on each side for a certificate lying on a flat bed, giving about 220 x 307 mm inside. If the certificate sits in a card mount or folder, measure the mount instead.

Depth for a single certificate can be as little as 20 mm. A slim box like that is easy to carry in a stack backstage and fits a standard document bag. A certificate with a medal, a ribbon or a printed letter needs 30 to 40 mm, usually with a shaped insert for the medal.

  1. Measure the item, plus any mount, folder or stand that goes with it.
  2. Decide whether the item lies flat or stands upright in the box.
  3. Add 5 mm on each side for a flat item, more if it sits in an insert.
  4. Send the inside size and the item's weight, which helps us choose the board.

Which insert holds an award or a set of samples?

The insert decides whether the item looks presented or simply packed. Match it to the weight and shape.

ItemInsert that suits itWhy
Certificate or cardWrapped card bedLifts the sheet near the rim and keeps it flat
Pen or slim itemCard cut-out or foam channelHolds it centred and stops it rolling
Medal or coinFoam with a round recessKeeps a heavy disc from sliding
Glass or metal awardFoam block with a shaped cavityHolds weight and protects edges
Sample setCard insert with several cut-outsGives each sample its own place

A satin-lined bed is also an option for soft or delicate pieces, and our rigid box insert guide compares them in detail.

Board and wrap for a formal look

Presentation boxes are often held flat in two hands, so a long box needs board stiff enough not to bow in the middle. Greyboard thickness options are available on request, and we suggest one when we quote.

Dark plain wraps in black, navy and deep green look formal. Textured or linen-look papers suit schools and clubs that want a traditional feel. A contrast lining inside, such as the kraft-look interior of our black box, gives a small surprise when the lid comes off.

How should a presentation box be finished?

Keep it simple. A thin foil border, a crest or a logo is usually enough, as the white line on our black box shows. Busy artwork looks out of place at a formal event. Foil blocking in gold or silver, embossing or debossing and spot UV are all options, and they appear on your free proof.

If the same box is used for several awards, leave the lid with just your crest and put the award details on a card inside. That lets one box run serve every category. Our overview of foil and embossing finishes explains the options.

How many presentation boxes should I order?

Order the number you need plus a few spares, since awards nights rarely go exactly to plan. Late nominations, a damaged box on the night and a box kept for the archive are all common.

Quantities are priced per order, so send the number and a spread of sizes if you need more than one. Annual awards often reorder the same size, and keeping the artwork on file makes the next order quicker. Sample sets for stockists work the same way: one box size, with the insert changed as the range changes.

Can presentation boxes be posted to recipients?

Yes, inside a plain outer carton. Put fill at the corners and the address on the carton, never on the box itself.

For heavy awards, check the item is held firmly by its insert before the box goes into the shipper. Shake it gently with the lid on; if you hear movement, the insert needs to be tighter. A foam cavity that fits closely is the best protection for glass.

Common presentation box mistakes

  • Measuring the certificate but not the mount or folder it sits in
  • Choosing a box with no insert for a heavy glass award
  • Printing names on the lid, which needs a separate version for every winner
  • Leaving no spare boxes for late additions
  • Using a pale wrap that marks when handled on stage

Ordering presentation boxes

Send the item size, how it should sit, the quantity and the wrap and finish you have in mind. Every order is quoted in writing.

We set your crest or logo onto the artwork free of charge, and the proof shows the lid, base and insert together. Production takes 4–6 business days after you approve it, and delivery is free and tracked across the UK. If you have a date to meet, contact our packaging team and tell us when the event is.

Presentation Boxes: questions

Can a presentation box hold an A4 certificate flat?

Yes. A box about 220 x 307 mm inside holds an A4 sheet flat with a little room to lift it out. A wrapped card bed keeps it near the rim.

Can a presentation box hold a medal and a certificate together?

Yes. A foam or card insert with a recess for the medal sits on top of, or beside, the certificate. Send both sizes and we suggest a layout.

What colour presentation box looks most formal?

Black, navy and deep green are the usual choices. Add a thin foil border or crest for a traditional finish.

Can I put our school or club crest on a presentation box?

Yes. Send the crest artwork and we place it on the lid as foil, embossing or print, shown on your proof.

Can one presentation box size work for different awards?

Yes. Keep the lid generic and put the award name on a card inside. That lets one size cover every category.

Will a glass award be safe in a presentation box?

It needs a foam insert with a cavity cut to its shape. With that, it is held firmly in the box and in a posted outer carton.

Can a presentation box stand upright for a trophy?

Yes. A tall box with the award standing in a foam base is possible. Tell us the height and the base size.

Can each presentation box have the winner's name?

It is possible, but each name is a separate print version, which changes the price. A printed card inside is the cheaper way to name each winner.

Do presentation boxes come flat?

No. They are glued up in our workshop and reach you as finished boxes, each lid sitting on its base.

Can I reorder the same presentation box next year?

Yes. We can work from your approved artwork and size, and the new order still gets a proof.

Can a pen presentation box have a ribbon pull?

Yes, as an option. A short ribbon under a slim pen helps lift it out of a tight foam channel.

Is a lift-off lid or hinged lid better for presentations?

A lift-off lid reveals everything at once and comes away for photos. A hinged lid stays attached, which suits a box kept on a shelf.
