What are pr boxes?

PR boxes are rigid presentation cases sent to press, creators and partners before or around a launch. The cover swings open from a side spine. The first thing anyone sees is your message printed inside it, then the kit held in a fitted insert. They are made to be opened slowly, filmed and kept on a desk.

The cover swings open from a side spine, like a hardback. Opens like a book, often with a message inside the cover.

How pr boxes are put together

The cover swings open from a side spine, like a hardback. Each one is built from five parts:

  1. Front cover
  2. Printed wrap
  3. Greyboard case and tray
  4. Insert or cavity
  5. Spine and cover catch

What goes into a PR box, and who sends one?

A PR box is the parcel that tells a story before anyone reads the press release. It holds a new product, or a set of them, with a letter that explains why it matters.

The people who order them are rarely packaging buyers. They are press officers, founders and agency account teams working to a launch date. Our corporate and PR boxes range also covers client gifts and card cases for the same teams.

  • Beauty and fragrance brands seeding a new line to editors and creators
  • PR agencies running a send-out for a client launch
  • Drinks makers sending a bottle with tasting notes ahead of a release
  • Tech and training firms posting welcome packs with a memory stick and printed guides
  • Event teams sending invitations with a small keepsake inside

Why does a book-style cover suit a launch?

The cover is hinged along one long side, so it opens like a hardback rather than lifting off. Nothing separates from the box, and nothing ends up on the floor during an unboxing video.

That opening gives you two reveals. First the inside of the cover, where your note or launch line sits at eye level. Then the tray, with each item in its place.

The cover holds shut with a hidden magnet or a ribbon tie, as you choose. If you want the same opening in a plainer use, see our book-style rigid boxes in other sizes.

How big should a PR box be?

Start from the kit, not from a box size you have seen elsewhere. A PR box that is too big looks half empty on camera, and one that is too tight crushes a leaflet into the lid.

Work it out on a table before you ask for a price. These steps take about ten minutes.

If you are unsure about clearance, our guide to sizing a rigid box walks through it with worked numbers.

  1. Lay every item flat, exactly as you want it seen, with gaps of about 10 to 15 mm between them.
  2. Measure the outer edges of that layout in millimetres. Add about 15 mm on each side for the insert wall.
  3. Find the tallest item and add about 10 mm for the insert floor and a little headroom.
  4. Note anything loose, such as a card, sticker sheet or letter, that should sit on top of the insert or inside the cover.
  5. Send those three numbers and a photo of the layout with your quote request.

Board and wrap for a box that will be photographed

Every PR box is a greyboard case wrapped in paper. Thicker board makes the case feel more solid in the hand, and thickness options are available on request.

Wrap colour matters more here than on most boxes, because it will be filmed under ring lights and window light. Pale wraps like the white and powder blue in our photos read clean on screen but show fingerprints. Mid-tone and textured papers hide handling better.

Printed wrap carries a pattern or full brand colour on every face. A plain coloured paper with one foil mark is quieter and often photographs better.

Which insert holds a mixed kit?

Most PR kits mix shapes: a bottle, a tin, a booklet, sometimes a memory stick or a pen. The insert keeps each one in its own place so the layout arrives the way you planned it.

Our first photo shows a white card insert with cut-outs for documents, a memory stick and a pen. Each has a small notch so a finger can lift it out.

Printing the inside cover and the outside wrap

The inside of the cover is the best space in the box. A short welcome note, the launch date or a line about the product works well there. A loose card, by contrast, often gets lost.

Outside, most brands keep it simple: a logo on the front, sometimes a name on the spine. Foil blocking, embossing, debossing and spot UV are all options, as are soft touch, matt or gloss lamination.

Foil on soft touch catches light well on video. If you want to know how each finish looks up close, our page on foil, embossing and soft touch finishes shows the differences.

How do PR boxes survive the post?

A rigid case is strong, but its corners and wrap can still scuff in a sorting depot. Send each PR box inside a plain outer carton with a little void fill around it.

Check the cover catch before packing. A magnet holds the cover shut in normal handling. Still, a box that tumbles can flap open inside a loose outer, so fit the outer snugly.

Your PR boxes arrive made up and empty, ready for your team or fulfilment partner to pack. That delivery is tracked, free and takes 2–3 business days.

Planning the timeline back from launch day

Most PR box problems are timing problems. Count backwards from the day the kits must land on desks.

Allow for the written quote, your proof checks, production of 4–6 business days after approval, then 2–3 business days of delivery to you. After that you still need packing days and your own posting time.

Products arriving late from your own supplier is the usual hold-up, so measure from a final sample, not a drawing. We set out a fuller worked example in our PR box send-out planning guide.

Mistakes we see on first PR runs

None of these are expensive to avoid, but each one has cost a team a weekend of repacking.

  • Sizing the box from a product render instead of the finished item with its cap or pump.
  • Forgetting the letter, so it ends up folded and squeezed under the insert.
  • Choosing a very pale wrap for a kit that will be handled by many people before it is filmed.
  • Ordering the exact number of recipients with no spares for late additions or a damaged parcel.
  • Putting the logo where the ribbon or cover catch will cover it.

How to order PR boxes

Send the kit list, your measured layout, a rough quantity and the date the boxes need to reach you. Add your logo or artwork if you have it.

A written price comes back first. Then a designer arranges your artwork on a free proof, and production starts once you approve it. You can begin with our written quote request form or send the same details by email or WhatsApp.

PR Boxes: questions

How many items can one PR box hold?

As many as fit the layout you send. Most kits we see hold two to five pieces plus a letter, each in its own cut-out.

Can you print a message inside the PR box cover?

Yes. Inside print on the cover is available on request, and it is the spot most recipients read first when the box opens.

Do PR boxes come packed with our products?

No. We make the boxes and deliver them made up and empty, ready for your team or fulfilment partner to fill.

Can the cover close with a ribbon instead of a magnet?

Yes. A book-style PR box can close with a hidden magnet or a ribbon tie, whichever suits the look you want.

What inside size fits A4 documents in a PR box?

A4 is 210 x 297 mm, so an inside size of about 305 x 220 mm leaves room for the insert wall. Depth depends on what else sits beside the papers.

How far ahead of a launch should PR boxes be ordered?

Work back from the landing date: quote and proof time, 4–6 business days of production, 2–3 business days of delivery, then your packing and posting days.

Can we see one made-up PR box before the full run?

Ask for it when you request a price and we quote it in writing. You still get the free design proof before anything is made.

Should a PR box go in an outer carton for posting?

Yes. A plain outer with a little void fill protects the wrap and corners from scuffs in transit.

Can the insert hold a memory stick and a pen as well as products?

Yes. Die-cut card inserts can carry small items like these beside your products, each with a finger notch to lift it out.

Which wrap colours film well for a PR unboxing?

Mid-tone and textured papers hide handling marks and read well under ring lights. Very pale wraps look clean but show fingerprints quickly.

How are PR boxes priced?

Every order is quoted in writing for your size, insert, wrap, finish and quantity. You can see how the logo might sit on our Design Your Box page before you ask.

What happens if some PR boxes arrive damaged?

Photograph the damage and tell us within 10 days of delivery. Those boxes are then reprinted or refunded.
